Job Summary: |
This position serves as support staff for Campus Facilities Service Center and Environmental Health & Safety Department. Work consists of day-to-day activities of the departments, which includes but not limited to all aspects of customer service, data entry, development of simple reports, work order data maintenance and input. Will assist and backup with front line support by way of data management, address simple inquiries and the maintaining of proper records
Job Functions:
Facilities:
- Provides coordination and oversight of daily activities of the Campus Facilities Service Center.
- Provides necessary reception coverage for office and backup to the Office Assistant 1.
- Gathers, compiles, and prepares data from manual or automated files and other sources of various reports, publications, records, or external or internal communications.
- Generates reports from the Facilities work order system upon request.
- Responds to inquiries concerning the operation of the unit or program area via email, phone or in person.
- Reviews forms and applications and make appropriate determinations.
- Maintains the rental vehicle program - corrective data control, answering inquiries and coordinates rental agreements.
- Develops and updates Facilities Service Center departmental Standard Operating Procedures (SOP).
- Understands and complies with NYS DMV, Vehicle Insurance and SUNY policies and procedures.
Environmental Health & Safety (EHS):
- Assists with managing the Crowd Manager program training records.
- Enters, verifies and processes Initial Van Safety Course Registrant and Refresher courses.
- Establishes work orders related to deficiencies in conjunction with Facilities Inspection Report Records.
- Creates, Maintains and reviews various reports, spreadsheets and databases.

Minimum Qualifications: |
NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS): One year of clerical experience.
COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS): Candidates must have permanent appointment in an Office Assistant 2 NY State classified position or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 2 Full-Time, Brockport location.

- Ability to communication information professionally and accurately to campus.
- Proactive, detail-oriented and organized.
- Experience in Microsoft Office products such as: Excel, Outlook, Teams, etc.
- Ability to collaborate with members of a diverse University community.

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title maybe filled via a noncompetitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
