Job Summary:

This position answers all telephone inquiries received in the Financial Aid Office from students, parents, faculty, and staff. Logs all mail received in the office daily, opens and date stamps mail, reviews documents for completeness and accuracy, and returns documents as necessary. The Office Assistant 2 prepares documents for scan, and indexes those to prepare for packaging by Financial Aid Advisers. 



Essential Functions:

  • Disseminates information to students, parents and university staff on the telephone; including scheduling student appointments.
  • Reviews all documents received in the Financial Aid Office and requests pertinent information; scans and indexes all documents into the Financial Aid Office imaging system.
  • Completes weekly and biweekly reports generated through the Financial Aid Office weekly data load process.
  • Maintains and processes all mail generated/received by the Financial Aid Office.
  • Solves financial aid-related problems.
  • Monitors and prioritizes Office Assistant 2 assignments.
  • Inputs Equal Opportunity Program (EOP) verification packets and documents daily.
  • Serves as back-up for:
    • Distribution of mail
    • Award letter maintenance
    • Tracking letter maintenance
    • Distribution of reports
    • Front desk receptionist
  • Completes forms and procedure updates.
  • Trains Financial Aid Office staff.
  • Coordinates and assigns tasks to student employees.
  • Adheres to the University's Student Loan Practices Code of Conduct and SLATE Regulations.
Minimum Qualifications:

NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):
One year of clerical experience.

 

COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):
Candidates must have permanent appointment in an Office Assistant 2 NY State classified position or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 2 Full-Time, Brockport location.

Work Schedule: 37.5 Hours/Week; Monday-Friday, 8:00am-4:00pm
Salary, Benefits, and Appointments:

$41,399

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title maybe filled via a noncompetitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.


At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
